One World Conference App - Privacy Policy

Introduction

This Policy explains how we collect, use, disclose, and safeguard information when you use the One World Conference mobile app (the “App”) for viewing the agenda, session details, receiving announcements, scanning QR badges and participating in live surveys/Q&A.

1. Information we collect

1.1 Information you provide

    • Identity & contact (name, email, company/role); optional profile photo/bio.
    • Preferences (favorites, saved sessions).
    • Survey & Q&A inputs: ratings, votes, free‑text questions/comments; you may post with your name or anonymously (depending on the survey setting).
       

1.2 Information collected automatically

    • Device/usage (device/OS, app version, IP, diagnostics, crash logs).
    • Notification token to deliver push alerts for schedule and room changes.

 

1.3 From third parties

Registration/Check‑in data from our event platform/vendor (e.g., PheedLoop): ticket/registration ID, badge/QR code, and check‑in status to enable access and seating/flow management.

2. QR scanning & attendance

2.1 When you scan your badge/QR at entrances or sessions, we collect:

Registration/ticket ID, name, company, timestamp, and location context.
We use this to:

    • Validate access, manage capacity, reduce wait times, and support operational safety;
    • Generate attendance analytics and session popularity insights;
    • (Where applicable) send relevant follow‑ups (e.g., “slides now available”).

 

We do not use QR scans for tracking outside the event context or for third‑party advertising.

3. How we use information

We use your information to provide the App’s core features (agenda, announcements, QR check‑in, surveys/Q&A), to operate and secure the App (including analytics, diagnostics and performance monitoring), to respond to your inquiries and service requests, and to comply with legal obligations and enforce our terms. Where permitted, we may send event‑related communications; any promotional messages involving sponsors will be sent only with your consent or as allowed by law. These purposes reflect MTech’s standard privacy framework for apps and websites.

4. How we share information

We share information with service providers acting as processors that support the event stack—such as the registration and on‑site check‑in platform (e.g., PheedLoop), cloud hosting, analytics and push notification services—under contracts that restrict their use of the data to our instructions. We may also share limited information within the Munters/MTech group for event operations, with the venue or security teams for access control and safety, and with authorities when required by law. Sponsors will only receive your identifiable information where you have opted in or where otherwise permitted by law.

5. Security

We apply administrative, technical and physical safeguards designed to protect personal information against unauthorized access, use or disclosure. No method of transmission or storage is completely secure; we continuously review and enhance our controls in line with corporate standards

6. App Store/Play disclosures

“Data linked to you” may include contact details, registration ID, attendance records, and app activity (e.g., favorites), along with device identifiers and diagnostics. Aggregated analytics and diagnostics may be processed but are not linked to your identity. We do not track you across other apps or websites for third‑party advertising; if this changes, we will update this Policy and seek consent where required.

We will use commercially reasonable efforts to promptly determine and remedy the problem.

8. Other Important Privacy Information

8.1. Information About Children. Our Service does not address anyone under the age of 13 (“Children”). We do not knowingly collect personally identifiable information from anyone under the age of 13. If you are a parent or guardian and you are aware that your Children has provided us with Personal Data, please contact us to remove that information from our servers.

8.2. We Never Sell Personal Data. We will never sell your Personal Data to any third-party.

8.3. Changes to This Privacy Policy. We reserve the right to make updates to this Privacy Policy as needed to reflect changes in the law and our data handling or management practices. We will alert you about any changes by updating the “Last Updated” date of this Privacy Policy. Any changes or modifications will be effective immediately upon posting the updated Privacy Policy on this page, and you waive the right to receive specific notice of each such change or modification.
